Asset Management

The Asset Management Section is found in the drop-down menu list of the module.

1. Create an Asset

Click Assets from the left menu.

On the asset management page, find the Add button and click it to open the popup for creating an asset.

Fill data in all fields. After selecting a model from the Model field, all custom fields of this model will be shown below it.

When the Requestable field is checked, employees (not the administrator) can request to checkout this asset (If an employee is an administrator, they will not need to request, but can checkout to give out to anyone else).

Creating Multiple Assets

In the Asset Tag tab. You can create multiple asset tags. If you type three asset tags, it will create three asset.

Click the Save button to create a record.
To edit or delete an asset, on the asset list you hover over it and select the manipulation that you want.

2. Suppliers

Click on Suppliers from list

After clicking the Suppliers menu link, you will find the Add button.

Fill in the required fields. Click the Save button to create records

To Edit or Delete, hover on the row and select the manipulation that you want

3. Asset manufacturers

Click on Asset manufacturers from the list.

On the page that comes up, you will find the Add button

Fill in the required fields. Click the Save button to create a record.

To Edit or Delete, hover on the row and select the manipulation you want.

4. Categories

Click on Categories from the list

On opening the Categories page, you will find the Add button.

Fill in the fields with the:

  • Category Name
  • Category Type

-Click the Save button to create.

To Edit or Delete, hover on the row and select the manipulation that you want.

5. Models

Click on Models from the list.

On the Models page, you will find the Add button.

Fill in the fields with the following details:

  • Model Name
  • Manufacturer
  • Category

-Click the Save button to create a record.

To Edit or Delete, hover on the row and select the manipulation you want.

6. Status Labels

Click on Status labels from the list.

On the Status Labels page, you will find the Add button.

Status labels are used to describe the various states your assets could be in. They may be out for repair, lost/stolen, etc. You can create new status labels for deployable, pending, and archived assets.

-The status label comprises four statuses:

  • Deployable: These assets can be checked out. Once they are assigned, they will assume a meta status of Deployed.
  • Pending: These assets can not yet be assigned to anyone, often used for items that are out for repair, but are expected to return to circulation.
  • Undeployable: These assets cannot be assigned to anyone.
  • Archived: These assets cannot be checked out, and will only show up in the Archived view. This is useful for retaining information about assets for budgeting/historic purposes but keeping them out of the day-to-day asset list.

Fill in the fields and click the Save button to create a record.

To Edit or Delete, hover on the row and select the manipulation that you want.

7. Approval Settings

Click on Approval settings from the list.

On the Approval Settings page, you will find the Add button.

The Approval Settings field has two types:

  • Checkout: Approve the Request when creating an asset checkout request
  • Audit: Approve the Audit when creating an audit and when closing an audit.

-Fill in the Subject name, and select Related. Select approver at Approval Process, and click the + button if you want to add more approvers.

Click the Save button to create a record.

To Edit or Delete, hover on the row and select the manipulation/action that you want.

8. Custom Fields

Click on Custom Field from list.

On the Custom Field page, you will find the Add button.

8.1. New Fieldset

Fill in the fieldset name, and notes and click the Save button to create a record.

To Edit or Delete, hover on the row and select the manipulation that you want.

A fieldset is the collection of fields. To create a field, you hover over a row of fieldset and click the View link.
-Once inside, you will find the Add button and click on it.

Fill in data to the Title field.
-Select Field type with any out of the following seven types:

8.1.2. Number Field

8.1.3. Text Area

8.1.4. Select

8.1.5. Multi-Select

8.1.6. Check Box

8.1.7. Radio Button

8.2. New Custom Field

9. Other Settings

Click on Other Settings from the list.
Here, you can set up a Google Maps API key to show a location on a map when viewing the details of a location.
